1. Who we are
TitaniumGP is made by AdvTrex Inc. (“TitaniumGP”, “we”, “us”), San Diego, California. This policy covers the website at titaniumgp.com (including the Help Center, Downloads and Resources pages), our checkout and billing pages, and the information the TitaniumGP software sends to our services: the TitaniumGP Add-in for Dynamics GP, TGP+ for Excel, Command Center, Intel Doc and the Month-End Close Monitor.
Our customers are businesses in the United States and Canada. Where a customer’s staff use our software, the customer controls its own Dynamics GP data; this policy describes only what reaches us.
2. Information from the website
What you give us
- Contact and support form — your name, email address, company and message. It is stored as a record in our customer relationship system (Microsoft Dynamics 365) so we can reply and follow up.
- Requested documents — if a guide or template asks for a work email before download, we record that email and which document you requested, in the same system.
- Email — anything you send to info@TitaniumGP.com.
- Purchases — checkout and subscription management run on Stripe
(
pay.titaniumgp.comand Stripe’s customer portal). Stripe collects your payment details; we never see or store your full card number. We receive your name, email, billing address, what you bought and your subscription status.
What is collected automatically
- Server and security logs — like any website, our hosting (Microsoft Azure) records IP address, browser type, the page or file requested and the time, to keep the site working and secure.
- Analytics, only if you accept — pages viewed, downloads, clicks and scrolling, device and browser type, and approximate location (city/region level). See Cookies & analytics.
3. Information from the software
TitaniumGP runs inside your own environment and works against your own SQL Server. It contacts our services only for the purposes below.
- Licensing and registration — when a site takes a trial, registers or refreshes its license, the software sends the registration details you enter (company name and contact information) and identifies the site and products to our licensing service. The license is then validated locally, so everyday use does not depend on reaching us.
- Check for Updates — only when a user clicks it. The request is encrypted and carries your account number, your Dynamics GP version, the TitaniumGP version installed on that computer and the number of GP users, so we can tell you whether a newer version applies. Updates are never installed without you choosing to.
- Downloads — installers are served from
files.titaniumgp.net, which keeps standard request logs (IP address, time, file).
Apart from these and the two AI features below, the software does not send your Dynamics GP business data to us.
4. The two AI features
AI is used in exactly two places. Nothing else in TitaniumGP — TGP Sentry included — uses AI.
- TGP+ for Excel — report assistant. When you ask for a report in plain English, your question and the structure of the database (table and field names) are sent to our AI provider, currently Anthropic (maker of Claude), to draft the SQL. The query is shown to you and runs locally. Your business data is not sent.
- Intel Doc — document reading. When you run AI analysis, the document you are processing is sent to Microsoft Azure AI Document Intelligence to extract its fields and line items — through TitaniumGP’s service on a trial, or directly to your company’s own Azure subscription if you use one. AI can be switched off; Intel Doc then reads the text of a digital PDF on your computer and nothing leaves your environment. EDI files are always read locally.
Content sent for these features is used only to produce your result. Both providers process it under commercial terms that do not permit them to use it to train their models.
5. How we use information
- To answer enquiries, provide support and send the documents you ask for.
- To provide, license and update the software, and to bill for subscriptions.
- To understand which pages, guides and downloads are used, and improve them.
- To keep our services secure and prevent abuse.
- To meet legal, tax and accounting obligations.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We may email you about your subscription and important product changes; any marketing email includes an unsubscribe link.
6. Service providers
We use these companies to run TitaniumGP. Each processes information on our behalf under its own security and privacy commitments.
| Provider | What for |
|---|---|
| Microsoft | Website and file hosting (Azure), customer records (Dynamics 365), email (Microsoft 365), document recognition for Intel Doc (Azure AI Document Intelligence), analytics (Clarity, with your consent) |
| Website analytics (Google Analytics 4, with your consent); YouTube, for videos in the Help Center | |
| Stripe | Checkout, payments, invoices and subscription management |
| Anthropic | AI for the TGP+ report assistant (see section 4) |
These providers are based in the United States, so information may be processed and stored there and may be accessible to authorities under U.S. law. We may also disclose information if the law requires it, or as part of a merger or sale of the business, in which case this policy continues to apply.
8. Retention & security
We keep enquiry and customer records while we have a business relationship with you and for a reasonable period afterwards, and billing records as long as tax and accounting law requires. Google Analytics data is kept for 14 months; Clarity data is kept under Microsoft’s retention limits. Server logs are kept only as long as needed for operations and security.
Information is encrypted in transit, access is limited to the people and systems that need it, and the website connects to our customer system with a credential that can only create new enquiry records.
9. Your rights
Everyone
You can ask us what personal information we hold about you, ask us to correct or delete it, withdraw consent (for example, to analytics) and unsubscribe from marketing email at any time.
California residents
Under the California Consumer Privacy Act (as amended by the CPRA), you have the right to know what personal information we collect, use and disclose; to delete it; to correct it; and to opt out of its sale or sharing — we do neither. We will not discriminate against you for exercising these rights. You may use an authorised agent. We will verify requests by matching the information you give us against what we hold.
Canadian residents
Under PIPEDA you may access and correct your personal information and withdraw consent, subject to legal and contractual limits. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
To make a request, email info@TitaniumGP.com with the subject “Privacy request”, or call us. We respond within 30 days, or 45 days where the law allows.
10. Children & changes
TitaniumGP is business software. The site and services are not directed at children, and we do not knowingly collect information from anyone under 16.
If we change this policy, we will update the date at the top. If a change is significant, we will say so on the site or tell customers by email before it takes effect.
